Camp Policies

1. Cancellation Policy: We understand that cancellations happen for a variety of reasons. We are a small camp that only takes 12 campers per week, and we hire a staff ratio that exceeds insurance and certification requirements- this means our margins are small and cancellations have a big impact, so we encourage you to reconsider cancelling once registered.

These are the Cancellation options:

  • At any time you can transfer your camp week to another camper or camp week. If you transfer your camp week to another camper, you will be refunded in full amount less the $30 +HST admin fee. Please read below Under 4 & 5 about how to do this.
  • If you wish to simply cancel and receive a refund, here are our policies: When cancelling, your deposit is non-refundable regardless of when you register or cancel. If you have made a full payment for camp: You can cancel at any time prior to April 1, 2017 and you will be given a full refund less the deposit and the $30+HST admin fee. If you cancel between April 1, 2017 and May 30, 2017 you will be given a 50% refund less the $30+HST admin fee. Cancellations made from June 1 2017 or later will not be refunded.
  • If you need to cancel camp because of a medical reason, you can provide us with a medical note and then we can either 1)  transfer your camp credit to another service at Partridge Horse Hill (PHH) to be used before the end of the calendar year (as lessons, in another camp week, a clinic, etc.) for an admin fee of $30+HST, or else 2) you can transfer your camp week to another camper for an admin fee of $30+HST 3) Receive a full refund less an admin fee of $30+HST. Medical reasons are any reason that a doctor determines it would not be safe for a person to attend camp (for example: the camper has chickenpox, a broken arm, etc.). Transferring to a later camp week is subject to availability and not guaranteed.
  • Selling/Transferring Your Camp Week Policy (giving your camp week to another camper): At any time you can transfer/sell your camp week to another camper provided the new camper meets the requirements of the camp week (is the appropriate age, etc), and the new camper’s registration is completed by the Friday before the start of the camp week. To do this you need to have the camper taking your spot fill complete registration with a note stating they are taking your spot in camp. Once the forms are received, Partridge Horse Hill will contact you to confirm you want to transfer your week. After the new camper’s registration is complete and payment received, you will be refunded the full amount less a $30 administration fee (+HST). Please note that to transfer a camp week, you need to find the replacement camper and inform us who will be taking your camp week (i.e. the person taking your camp week cannot already be registered for camp). Alternatively if we have a waiting list we may be able to provide someone to take your week.
  • Transferring Your Camp Week Policy (your camper wanting to switch to a different camp week): At any time you can transfer your camp week to another camp week, provided the camper meets the requirements of the camp week (is the appropriate age, etc), there is availability, and the registration is completed by the Friday before the start of the camp week. To do this you need to complete a new registration form and email us a note to say you want to switch. Once received, Partridge Horse Hill will contact you to confirm you want to transfer. Cost to make a change to camp week is the admin fee ($30 plus HST) plus any difference in price if applicable.

2. All Campers need to be Mentally, Emotionally, and Physically Able to be safely around horses in a Group Environment: Horses are big, strong, and potentially dangerous, so it is important that everyone participating in our horse camp can follow instructions, remember safety rules, and physically be able to move around with good balance to keep themselves and others safe. For that reason it is extremely important that all campers be mentally, emotionally, and physically able to be with horses in a group setting. Our camps have some private instruction, but largely campers will be in groups with other campers. If your child has a physical, mental, or emotional challenge that requires one on one supervision then we cannot accommodate your child in camp. If your child comes to camp and Partridge Horse Hill deems our horse camp to be an unsafe environment for your child for any reason, your child will not be able to participate in horse camp, and there will be no refund given. In certain circumstances it may be possible for the parent/guardian to make arrangements for their child to stay in horse camp (for example if a child has a mild learning disability but requires constant supervision as deemed by Partridge Horse Hill, then the child may be permitted to stay in horse camp if the parent/guardian provides a supervisor (or comes themselves) to provide one on one supervision for their child). If you are unsure if your child is a good fit for our program please contact us. We have had many children have safe and fun experiences that have ADD, ADHD, FAS, and other conditions, but it is important to speak with us before completing registration so we can determine if our camp is a good fit for your child. It is important to us that we provide a safe environment for everyone at camp.

3. Proper Attire Policy: We are an OEF accredited facility and as such we adhere to safety standards. All campers need to wear an ASTM approved horseback riding helmet when riding, no exceptions. When riding with a saddle, boots with a heel are required, no exceptions.

4. Sign In & Sign Out: Every time you drop off a camper and pick up a camper we require a person 18 years or older to sign the camper in or out, as well as provide an emergency contact number. Parents/Guardians can provide name(s) of people that are allowed to sign out their camper.
